Process Overview

JDHK follows a structured 12-stage editorial process from initial submission to final online publication. The entire process is managed through the Open Journal Systems (OJS) platform at dmedlaw.org. All communications between authors, editors, and reviewers are conducted via the OJS platform to maintain a complete, auditable record of each submission.

Total estimated time from submission to publication: 6–12 weeks, depending on revision requirements and reviewer response time.

 

1 Manuscript Submission

Authors must submit manuscripts exclusively through the JDHK OJS platform. Submissions sent via email or other channels will not be processed. Authors must be registered as an Author in the OJS system before submitting.

Upon successful submission, the corresponding author will receive an automatic acknowledgement email from OJS confirming receipt of the manuscript. A submission ID will be assigned for all future correspondence.

2 Administrative & Completeness Screening

The Editorial Secretariat conducts an initial administrative check within 1–3 working days to ensure the submission meets JDHK's basic requirements before proceeding to substantive editorial review. Incomplete or non-conforming submissions will be returned to the author with specific feedback.

3 Plagiarism & AI Content Screening

All manuscripts that pass administrative screening are subjected to plagiarism detection using Turnitin software. Authors are encouraged to self-check their manuscript before submission. JDHK also checks for undisclosed AI-generated content in accordance with COPE Guidelines on AI in Academic Publishing (2023).

AI Disclosure Policy: Authors must disclose any use of AI writing tools (e.g., ChatGPT, Gemini) in the Methods or Acknowledgements section. AI tools may not be listed as authors. Undisclosed AI content detected post-submission may result in rejection or retraction per COPE guidelines.

4 Desk Review by Editor-in-Chief

Following successful screening, the Editor-in-Chief (EiC) conducts a desk review within 3–5 working days to assess the manuscript's scientific merit, originality, and suitability for JDHK's readership. The EiC may reject manuscripts at this stage without external peer review if the work does not meet the journal's minimum scientific standards or scope.

If the EiC determines the manuscript is suitable for external review, they will assign a Handling Editor and initiate the reviewer invitation process.

5 Double-Blind Peer Review

JDHK employs a double-blind peer review process in which the identities of both authors and reviewers remain confidential throughout the review process. A minimum of two independent reviewers with relevant expertise are invited to evaluate each manuscript. Reviewer selection is based on expertise, absence of conflict of interest, and availability.

Review Timeline

Reviewers are given 14–28 days to complete their review. JDHK sends automated reminders at 7 and 14 days. If a reviewer declines or does not respond within 7 days of invitation, an alternative reviewer is sought. In cases of significant disagreement between two reviewers, a third reviewer may be invited.

Conflict of Interest: Reviewers must declare any potential conflicts of interest before accepting the review invitation. Reviewers who have co-authored with any of the submitting authors within the past 3 years, or who are from the same institution, must decline the invitation.

6 Editorial Decision

After receiving reviewer reports, the Handling Editor and Editor-in-Chief deliberate and issue one of four editorial decisions. The decision letter, together with anonymised reviewer comments, is communicated to all authors via OJS within 3–5 working days of receiving the final reviewer report.

Accept

Manuscript is accepted as submitted or with only minor typographical corrections. Proceeds directly to copyediting.

Minor Revision

Small corrections required. Author has 7 days to revise and submit a point-by-point response letter.

Major Revision

Substantial changes required, possibly including additional data or analysis. Author has 21 days to revise.

Reject

Manuscript does not meet JDHK's standards. Rejected manuscripts may not be resubmitted unless invited to do so by the EiC.

7 Author Revision & Response

Authors who receive a revision decision must submit a revised manuscript along with a detailed Response Letter addressing each reviewer comment individually. Revisions submitted after the deadline without prior editorial approval will be processed as new submissions.

Revised manuscripts are returned to the original reviewers for re-evaluation where possible. The Handling Editor may make the final decision on Minor Revisions without returning the manuscript to reviewers if the changes are straightforward.

8 Final Acceptance

Once the revised manuscript satisfactorily addresses all reviewer and editorial comments, the Editor-in-Chief issues a formal Letter of Acceptance via OJS. This letter confirms that the manuscript has been accepted for publication in JDHK and will proceed to the production stage. The acceptance date recorded in the published article refers to the date of this letter.

No Article Processing Charge (APC): JDHK operates under a Diamond Open Access model. There is no fee at acceptance, at any stage of the editorial process, or at publication. All costs are covered by the publisher, RSUD Wangaya, Denpasar, Bali.

9 Copyediting & Language Editing

Accepted manuscripts are forwarded to the JDHK copyeditor for professional language editing and formatting. The copyeditor checks grammar, spelling, punctuation, consistency, and adherence to the Vancouver referencing style. Authors may be contacted for clarification on specific points during this stage.

10 Galley Proof & Author Approval

The typeset galley proof (PDF and/or HTML format) is sent to the corresponding author via OJS for final review and approval. Authors must review the proof carefully and return it with any corrections within 3–5 working days. Only typographical or factual errors may be corrected at this stage; substantial content changes are not permitted after acceptance.

Important: Failure to return the proof within the specified period will be interpreted as approval of the galley proof as submitted. Changes to authorship, author order, or affiliations after acceptance require formal written justification and written approval from all co-authors, subject to editorial review in accordance with ICMJE criteria.

11 Online Publication

Following author approval of the galley proof, the article is published online on the JDHK OJS platform within 1–3 working days. JDHK publishes articles on a rolling basis as they become ready (continuous online publication), with articles formally assigned to a volume and issue according to the publication schedule.

Publication Schedule

JDHK publishes 2 issues per year: Issue 1 (June) and Issue 2 (December). Articles are published online ahead of issue assignment as soon as they are ready.

12 DOI Assignment, Indexing & Archiving

Upon publication, each article is assigned a unique Digital Object Identifier (DOI) via Crossref, ensuring permanent and persistent access to the published work. The article is simultaneously submitted for indexing and deposited in digital preservation systems.

Authors are encouraged to self-archive their published article (Version of Record) in institutional repositories, personal academic profiles (ResearchGate, Academia.edu), and preprint servers. JDHK's CC BY 4.0 licence permits this without restriction or embargo period.

Appeals Policy

Authors who believe their manuscript has been rejected in error, or that the peer review process was flawed, may appeal the editorial decision. Appeals must be submitted to the Editor-in-Chief at amerthamanuaba@gmail.com within 30 days of receiving the rejection notification.
